True flat-rate pricing

The subscription stays the same regardless of member count, subject to the vendor's fair-use or enterprise terms. This is predictable, but processing and add-ons can still change.

Tiered pricing

Run a Three-Point Growth Test

Do not compare pricing at only today's member count. Calculate the invoice at three points: current membership, the next published threshold and the owner's realistic 12-month target. A gym with 180 members should know what happens at 201 before choosing a plan. A gym planning location two should model the location charge at the same time.

For each point, record the subscription, included locations, required feature tier, messaging allowance, payment rate and contract term. This reveals whether growth produces a small planned upgrade or an unexpected jump across several line items.

Include Payment Fees in Every Model

Request the answers on a single written quote and attach your current and 12-month member counts. Include freezes, family accounts, staff memberships and seasonal members so the vendor can explain how each is counted. Then test an upgrade and downgrade in the trial or demo: confirm when the new price starts, what happens to features and whether historical data remains available.

A pricing model is only predictable when the counting rules are predictable. Assign one staff owner to reconcile the software invoice against active-member and payment-volume reports each month. That makes unexpected band changes, add-ons or processing differences visible before they become routine.
